What is Copilot?

Access Evo's Copilot is an AI-powered digital assistant that will securely analyze your Access-hosted data to provide you with contextual and helpful insights. Copilot answers queries (prompts), and suggesting actions based on the context you've provided, making it easier for you and your teams to gather information and perform tasks efficiently!

By design, Copilot offers short form conversation threads focused on a specific context named ‘topics’. Each thread will be comprised of prompts, and Copilot's responses, which are dependent on the data available to Copilot and any conditions, parameters or qualifiers set.

Copilot components

Access Evo's Copilot has various components that are used to provide contextually accurate insights on your business. The following section details some of the key components Access Evo's Copilot will use.

New Topics 

Use the New Topic button in Access Copilot to organize your interactions into distinct threads of conversation for a more organised and intuitive discussion. By separating inquiries into topics you can switch between projects, revisit previous conversations and handle multiple inquiries at once, without losing context. 

Topic History

The Topic History feature in Copilot allows you to revisit previous interactions and eliminates the need to repeat inquiries, allowing you to pick up right where they left off. Click on the Topic History button at the top of your Copilot view to navigate through past conversations, and easily track ongoing projects or explore different aspects of a topic over time.

Skills

Skills are collections of plugins with your Access-hosted products that allow Copilot to perform specific tasks or provide targeted information; designed to enhance Copilot's responses and and tailor your experience. 

When starting a topic in Copilot you must select the Skill you want it to operate in, meaning which context within the Access Evo Products you want Copilot collate data from. To query Unleashed and its data, select the "Unleashed" skill for each new topic.

Prompts

Prompts are predefined or dynamically generated messages that guide you on how to interact with Copilot. They can suggest actions, ask for information, or provide clarification on what the you might need to do next. Prompts are often context-sensitive, meaning they adapt based on your previous interactions or the current topic. This ensures that you receive relevant suggestions that align with ongoing tasks. 

Points to note

  • There is a a maximum of 20 prompts per topic.
  • Every user will be able to use a total of 400 prompts per month. Those who exceed the 400 prompts maybe liable for an additional charge as stated in our terms and conditions.
  • Copilot cannot be relied upon for math or totalising figures. It is predominantly designed to process the analysis of pre-calculated results.
  • Copilot can process up to a 100 records in a topic's response, whether: Sales, Purchases, stock positions, Products, Customer or Supplier records.

WARNING: Artificial Intelligence (AI) can make mistakes, always double check before making business impacting decisions.

How to use Copilot

To use Access Evo's Copilot:

  1. From Unleashed or Access Evo, click on the white "access" button displayed in the top left corner of the page.
  2. From the menu, select Copilot
  3. Select New Topic. If you haven't used Copilot before, skip to the next step. 
  4. Select an Evo Skill e.g. Unleashed Evo. 
  5. Select one of the auto-generated prompts or type in a question in the free-text field available.

Tips for using Copilot

We recommend making your prompts in Copilot as specific as possible, especially when asking Copilot to analyze specific sets of data or provide advice on next steps. Use written modifiers to refine Copilot's search for the appropriate data, such as:

  • In date range X until Y.
  • In last day/week/month/year.
  • Order status(es) X (Y, Z etc.).
  • For Customer(s) X (Y, Z etc.).
  • For Supplier Code(s) X (Y, Z etc.).
  • For Product(s) X (Y, Z etc.).
  • For Sales Group(s) X (Y, Z etc.).
  • For Product Group(s) X (Y, Z etc.).

By default, Copilot's responses will be shown in a written format, but when possible you can select "Show chart" in the response and Copilot will display it's response in a chart or graph format.

Purchases

Supplier Management:

Supply Planning:

  • Supplier suggestions for replenishment.

Copilot limitations with Unleashed

  • Custom Purchase and Sales statuses are not supported by Copilot, and will default to Placed or Parked respectively, in Copilot's responses.
  • Suppliers have to be prompted by Supplier Code, not their Supplier Name.
  • Sales cost and margin data is not available to Copilot. 
  • Copilot does not have access to production or manufacturing data, including Bills of Materials, Assemblies and Can Assemble quantities. 
  • Copilot will retrieve data for Sales Orders, but no Shipments, Invoices or Sales Quotes. 
  • Not all fields available in Purchase Orders, Inventory, Customers, Suppliers and Product data is available to Copilot, to ensure Copilot responses are generated in a timely and efficient manner. 
  • Copilot does not accept commands to make changes, generate transactions, records or write back any updates into your Unleashed account.
  • Copilot cannot query the open internet or link sources.
  • Copilot does not have the same sophistication as Unleashed's Business Intelligence (BI) or Advanced Inventory Manager (AIM) tools for stock planning or forecast calculations, and therefore may advise randomised methods from disparate sources we might not fully endorse.

    Limitation: Custom statuses not supported.
  • List and detail value of Pending Sales Orders per Order {in base currency / in each currency per order}.
  • List Completed Sales orders.
  • List Cancelled Sales orders.
  • When was {product X} last sold, what was the date?
  • Retrieve {order x} for {customer x}, give me pertinent information?
  • Show me my outstanding orders (or specify status, like Backordered).
  • How many orders received in {a time period}.
  • Show me the orders that have closed in {a time period}.

  • What orders in the past year revenue {below/above X}? How do I address discrepancy between order cost and relative ROI or sales value in future sales?
  • Can you give me all orders (with their currency) in {X status} from the past {X months/weeks} and list them from {high to low} total order value?
  • Look at my {top 3} most active customers in {timeframe X} in terms of number of orders placed.
  • In {timeframe X}, at what prices have I sold {product X}?
  • What products have I sold at different prices in {timeframe X}, list the product and the price points.
  • List all Sales orders for {Customer}. List the interval (in days) between each order placement.
Inventory

Request basic data:

  • What is the current stock on hand position for {product x}?
  • Is {product x} in stock and is it available for new sales?
  • List all products that are low in stock.
  • What sellable, stocked items have a stock position below their minimum stock level in either stock on hand or available stock? Check all.
  • What Warehouses are {products X, Y and Z} stored in? Give the on hand, allocated and available quantities per location.
    Limitation: as stated, cannot pull out can assemble.
  • Show me stock details, stock on hand positions of {products X, Y and Z} by {SKU/Name/Category/Batch/Serial}.
  • Do I have any items with negative availability, and what should I do about it? Check all warehouses.
  • List {Item X} SOH per warehouse code.
  • How many units of {product x} are allocated for pending orders?
    Limitation: can’t specify against what transactions.
  • What item has the most units available in my inventory?

AI assistant exercises:

  • For {item X}, list the top buyers and their count of orders and units purchased in {timeframe X}?
  • I have a customer that is likely to purchase {item X}, and have said they are interested in {item Y}. Can you give me all my products with descriptions related to {item Y}?
  • Identify items with >X days unsold inventory in {Warehouse X} and suggest clearance strategies.
  • Analyse my stocked products in {Warehouse X} and compare SOH position versus days since last sold, which items are overstocked?
Purchases

Request basic data:

  • List Purchase Orders placed yesterday.
  • List Purchase Order value(s) for <order(s) x (y, z)> in {base currency / their order currency}.
  • List of Pending Purchase orders or Show me my outstanding orders.
  • List of Completed Purchase orders (can add or distinguish Receipted).
  • List of Cancelled Purchase orders.
  • List of Receipted Purchase orders
  • Retrieve Purchase order details for order range or supplier x.
  • Show me late PO’s.

AI assistant exercises:

  • Pull past purchases with placement date and receipt date for {Supplier code X}, compare to their Supplier lead time if that value exists.
  • Give me all purchases in any status for {supplier code(s) X (Y, Z)}.
  • Pull all Purchases. List my top 5 highest order value purchases of all time with any supplier (expressed in base currency). List the purchase orders, supplier, date of placement, cost total, number of order lines, item codes, unit price and line item quantities, line total, order currency, average cost per line item per order and current order status.
  • What is my most purchased item in terms of unit quantity across completed purchase orders?
  • {Supplier Code} has a late PO, has this happened before? Give me detail and advise me what to do about it in the current case and later in renegotiation or billing.
  • Pull all PO's and line items for 2024. Check my purchase prices for all the items I purchased in based on all purchase order data - which item prices varied over multiple PO’s in that timeframe?
