Create new B2B Stores and manage how they sync with your Unleashed account via the B2B Portal page. 

Once a B2B Store's been added, the B2B Portal page allows you to configure which users have access to each B2B Store, how Sales Orders import to Unleashed and which warehouses your stock availability syncs from. 

Add a B2B Store

To add a new B2B Store:

  1. In your Unleashed account, go to the main menu and select "B2B Portal".
    NOTE: Only the account owner can add a new B2B store for the first time

  2. In the B2B Portal page, select the grey "Add new store" tile. 

  3. A pop-up "Create Your B2B Store" window will be displayed, in which you will need to fill in the following:

    • Store Subdomain:
      • This forms the URL for your store customers. 
      • You can provide the required name and it will be displayed as <storename>.store.unleashedsoftware.com.
      • You cannot customise the "store.unleashedsoftware.com" text in the URL.
      • You cannot change the store name after the store has been created.
    • Email: Use the dropdown menu to select which of your current Unleashed users will be the initial Store Administrator.
    • Name: Provide a name for the user selected in the Email field. 
    • Password & Confirm Password: Provide a password for the Store Administrator's B2B login. 
      NOTE: the password must be at least 9 characters including; one uppercase letter, one lowercase letter and one number.
    • Unleashed Order Status *: Use the dropdown menu to select which Unleashed status B2B Sales Orders will import as. Choose between; Parked, Placed or Backordered.
    • Warehouse Mapping *: Use the dropdown menu to select which Warehouse B2B Sales Orders will be imported with. 
    • Default Tax Rate *: Use the dropdown menu to select a default sales tax rate that will apply for B2B Sales Orders when a product or customer tax rate has net been set. 
      NOTE:
      The B2B Portal's default tax rate will not override a product's or customer allocated sales tax rate.
    • Select colours for your Catalogue
      • Primary: Set the background colour for your store catalogue header.
      • Secondary: Set the background colour of the buttons and action fields.

  4. Click on "Create Store".
    NOTE: It may take some time to create your store depending on the number of products and customers in your Unleashed account.

  5. A new browser tab will open, displaying the login page for your newly created B2B Store. 
    To login, use the Email and Password provided in step 3 and you will be logged in to the B2B Store as a Store Administrator. 
    NOTE: The B2B Store Administrator account is not the same as your Unleashed account, it is a different account and therefore requires a separate login to your Unleashed account's. 

Newly created B2B Stores

The newly created B2B Store will automatically sync all of your products and customers from Unleashed:

  • Your top 20 sellable products in Unleashed will be made "visible" and "sellable" in your B2B Store by default. For more details on managing products in your B2B Store, see B2B Products.

  • Ensure the products you want to make "visible" and "sellable" in your B2B store have good-quality images added in Unleashed. For more details on uploading images for your products, see How to add images to a Product.

  • The Primary contact for each Customer in Unleashed is synced automatically and will be visible in the B2B store.  

  • Customers that have a contact with a valid email address and "Ordering" enabled in Unleashed will be eligible to invite from your B2B Store. For more details on inviting Customers to access your B2B Store, see B2B Customers.

Configure a B2B Store

Once a B2B Store has been added, manage how it syncs with your Unleashed account using the configuration settings available. 

NOTE: User Roles with the permission "Integration Store" (within the Settings list) enabled, will have access to the B2B Portal page in Unleashed.

To access a B2B store's configuration settings:

  1. In Unleashed, from the main menu select "B2B Portal".

  2. Select "Configure" on your B2B Store's tile.


  3. The B2B Store's Configuration settings will then be displayed below.

When making any changes to your B2B Store's configurations, make sure to select "Save Configuration" before navigating away from the page to ensure the updates apply successfully. 

B2B Administrators

Invite Unleashed Users to be Store Administrators for your B2B Store via the B2B Portal's configuration page to allow them access to your B2B Stores' settings:

  1. In your B2B Store's Configuration tab, find the Administrators section. 

  2. Use the Email dropdown menu to select the current Unleashed user.

  3. Click on the "Invite" button.

  4. The user will receive a B2B Store invite email they will need to accept. From there they can setup their B2B Store login details.
    NOTE: If the user does not receive the B2B Store invite, please check spam or junk inboxes. 

Once a user has been invited for your B2B Store your can manage their access directly in the B2B Store. For more details, see B2B Store: Admin.

B2B Orders

Manage how B2B Sales Orders import to Unleashed using the following configuration options.

Orders Option Description
Unleashed Order Status

Select the Unleashed status that you would like this B2B store's orders to be imported as. Use the drop down menu to select between:

  • Parked
  • Placed
  • Backordered
Warehouse Mapping

Use the dropdown menu to select which warehouse B2B Orders will import to Unleashed with. 

When orders are imported from the B2B store, they will be created with this as their Order Warehouse.

Default Tax Rate

Select the tax rate that will be applied to this B2B store's orders.

B2B Stock

Determine which warehouses your B2B Store's stock availability will sync from using the following configuration options.

Stock Option Description
Include quantities for auto-assembled products When enabled, the available quantity will be populated to include the quantity of stock that can be assembled based on the component stock availability from the assign warehouses. 
Assign warehouses for stock availability

Use the toggles available to determine which warehouses will sync their stock availability to your B2B Store. 

At least one warehouse must be selected for stock availability.

NOTE: Within the B2B Store you can specify whether stock availability this is shown to the customer or not. For more details, see B2B Product Details.

The B2B Store syncs stock availability every 15 minutes, but this interval may increase if there is a large volume of products active in your B2B Store. 

TIP: If your stock availability in your B2B Store appears out of sync with your available quantity in Unleashed, try disabling the Include quantities for auto-assembled products setting and click on Save Configuration, then enable the setting again and re-save. This should re-sync your stock availability within 15 minutes.
