Why integrate Lightspeed Retail with Unleashed

The purpose of integrating Lightspeed with Unleashed is to provide true stock management on both systems in real-time. The integration streamlines point of sale (POS) and stock management requirements, whether you have one or multiple sales channels.

What is Lightspeed Retail?

Lightspeed is a POS and customer loyalty software that makes it easy to setup, manage and grow your business. Lightspeed operates from any device or platform with a web-browser, or via the Lightspeed iPad application.

Benefits of the Lightspeed integration

  • Stock levels in Lightspeed automatically update in real-time from Unleashed.
  • View accurate margins for all sales channels — based on landed costs calculated in Unleashed.
  • Stock movements are sent to your accounting provider, for all sales, costs of goods sold and stock on hand updates.
  • You can have centralized sales figures for both retail and wholesale channels.
  • You can have sales orders from multiple outlets going into Unleashed.

Integration flow descriptions

Integrated information Description
Products

Unleashed imports products from Lightspeed. Setting Unleashed to export product details back into Lightspeed is optional.

NOTE: When a product is marked as obsolete in Unleashed, it will not be marked as obsolete in Lightspeed. Product names cannot be updated in Lightspeed.

Customers Unleashed imports customer details from Lightspeed. Setting Unleashed to export customer details back into Lightspeed is optional.
Stock on Hand Setting Unleashed to export Stock on Hand (SOH) availability to Lightspeed is optional.
NOTE: SOH will only import from Lightspeed to Unleashed at the point of initial installation, if the products are new to the Unleashed account.
Sales

Closed sales in Lightspeed are imported into Unleashed. 

The status of sales that will import into Unleashed are:

  • CLOSED
  • LAYBY CLOSED
  • ONACCOUNT CLOSED

Sales will import to Unleashed within 5 to 15 minutes of the sale closing in Lightspeed.

Points to note

  • The details in this help file are accurate at the time of writing. However, from time to time Lightspeed may make further changes that are unknown to Unleashed.
  • Unlike other integrations with Unleashed, information is shared between the two systems by using the Unleashed API.
  • We do not recommend using Lay-by sales in Lightspeed as they can create a stock variance between the Unleashed and Lightspeed systems. This is because Lightspeed removes the quantity that is on lay-by whilst Unleashed does not.
  • Sales Returns/Credits will not be imported into Unleashed as they're processed in Lightspeed as a negative Invoice that Unleashed will not recognise. Lightspeed's Returns/Credits will need to be manually entered as Credit Notes in Unleashed if they are to be recorded in both systems.
  • After the integration, sales reports and product reports within Lightspeed will not accurately reflect the costs of goods any more.
  • Product pricing cannot be sent to the tax inclusive field in Lightspeed, it is only sent to the product's tax exclusive field. This means that you need to set up all your retail pricing in Unleashed as tax exclusive.

Before you integrate

  • When connecting Unleashed and Lightspeed the base currency in each system must be the same to ensure an accurate and successful integration.
  • When importing products from Lightspeed, Unleashed will import each product's Stock On Hand quantities and Stock On Hand value, therefore calculating each product's Average Landed Cost (ALC). This is the only time the SOH quantities and value will import from Lightspeed to Unleashed; from then on the SOH availability in Unleashed will export to Lightspeed if configured to do so. 
  • If you use both Shopify and Lightspeed do not integrate Shopify with Lightspeed or vice versa. It is recommended to integrate Shopify and Lightspeed each with Unleashed directly to ensure accurate SOH availability on both platforms.
  • To avoid Unleashed overriding existing information in your Lightspeed store make sure that the following configurations are saved to disabled before activating: 
    • Export Customers
    • Export Products
    • Export Stock On Hand

Products

Lightspeed product types supported by Unleashed's Lightspeed integration are:

  • Products
  • Product variants

NOTE: Unleashed's Lightspeed Retail integration does not currently support composite (a bundled group of smaller products) products.

Product variants

In Lightspeed, a product can also have variants. These are different versions of the product, such as size, colour, style, etc. Variant products are grouped together in Lightspeed, sharing the same name and handle e.g. Product Name: T-Shirt, Handle: T-Shirt, but each variant of the product should have its own SKU to successfully sync with Unleashed. Each variant's unique SKU will then sync on a 1-to-1 basis with a product record in Unleashed with a matching product code.

When you link your Lightspeed and Unleashed accounts, each variant of the product will be created as a unique product code in Unleashed.

We recommend not use spacing when providing a SKU or product code for your products in Unleashed; the space will be removed upon export to Lightspeed creating a mismatch between the systems. If the SKU in Lightspeed does not match the product code in Unleashed, it's sale in Lightspeed cannot import to Unleashed and will cause an error.

Never Diminishing Products

If you have products that are marked as Never Diminishing Products (NDP) in Unleashed; they will be synced to Lightspeed as a standard stock tracked product. However, you can edit the product in Lightspeed and un-mark the stock tracking option to align it with Unleashed as a Never Diminishing product. This is also the same process if the product's imported to Unleashed from Lightspeed. 

Serial and Batch Tracked products

All Sales Orders imported from Lightspeed that include Serialized and Batch Tracked products will import with a Parked status; and will require manual allocation of batch or serial numbers in Unleashed in order to complete.

Customers

When importing data from Lightspeed to Unleashed, make sure that the data in Lightspeed is in a valid format. The following table provides examples of possible fields that you need to ensure uses valid formats.

Data field Valid format description
Phone numbers Ensure that each phone number contains a valid area code and a valid phone number.
Email addresses Ensure that the email address is valid. For instance, joe.bloggs@customer.com.
