Automated Notifications

The Automated Notification function allows you to control if and when Suppliers or Customer Contacts receive automated email notices when their transactions are being processed in Unleashed.

Points to note

  • When enabled, the Automated Notification will apply to all transactions processed in Unleashed for the given type.
  • Automated Notifications populate the email's subject and body from your Company's Email Templates. For more details, see Email Templates.
  • Automated Notifications are only triggered when the transaction is updated to a specific status. The trigger status is not customizable. 
  • All Automated Notifications are disabled by default.
  • Automated Notifications is not functional in Sandbox accounts. 

Using Automated Notifications

To manage which transactions use Automated Notifications, go to Settings, System and select Automated Notifications

From the transaction grid displayed, toggle on (shows as green with a tick icon) each transaction to allow Unleashed to automatically send an email update to the identified contact. 

Automated Notifications are available for:

Transaction Order Status Contact notified
Credit Completed
  • Customer Contacts with an email address that are identified as "Invoicing" Contacts will receive automated emails.
  • If no Invoicing Contacts are identified, the Primary Customer Contact will receive an automated email, provided an email address has been captured.
Purchase Order Placed
  • Supplier Contacts with an email address that are identified as "Purchasing" Contacts will receive automated emails
  • If no Purchasing Contacts are identified, the Primary Supplier Contact will receive an automated email, provided an email address has been captured.
Sales Invoice Completed
  • Customer Contacts with an email address that are identified as "Invoicing" Contacts will receive automated emails.
  • If no Invoicing Contacts are identified, the Primary Customer Contact will receive an automated email, provided an email address has been captured.
Sales Order Completed
  • Customer Contacts with an email address that are identified as "Ordering" Contacts will receive automated emails
  • If no Ordering Contacts are identified, the Primary Customer Contact will receive an automated email, provided an email address has been captured.
Sales Order Shipment Dispatched
  • Customer Contacts with an email address that are identified as "Shipping" Contacts will receive automated emails.
  • If no Shipping Contacts are identified, the Primary Customer Contact will receive an automated email, provided an email address has been captured.
Sales Quote Pending
  • Customer Contacts with an email address that are identified as "Ordering" Contacts will receive automated emails.
  • If no Ordering Contacts are identified, the Primary Customer Contact will receive an automated email, provided an email address has been captured.
Supplier Return Completed
  • Supplier Contacts with an email address that are identified as "Purchasing" Contacts will receive automated emails.
  • If no Purchasing Contacts are identified, the Primary Supplier Contact will receive an automated email, provided an email address has been captured.

Manage your Customer and Supplier contacts

The Automated Notifications (emails) that are sent from Unleashed when a transaction is updated to it's required status will be delivered to the contacts specified in your Customer and Supplier records. If no contact is for a certain transaction type, the Customer or Supplier's primary contact will be used by Unleashed as the recipient. 

Manage Customer contacts

To manage a Customer's contacts and their eligibility for Automated Notifications, you can either update the Customer record in Unleashed directly or use the Customer Contacts Import CSV template to update your customers in bulk. 

To update Customer contacts in Unleashed directly:

  1. Go to the Customer record in Unleashed and navigate to the Contacts tab.

  2. To update an existing contact's Automated Notification settings, click on the Ordering, Invoicing or Shipping field along the contact's row and tick or untick the appropriate checkbox. 

    NOTE: Ticking the checkbox identifies the contact as a recipient for the Automated Notification. 

  3. When adding a new contact for the Customer, use the checkboxes available to identify whether they should receive Ordering, Invoicing or Shipping Automated Notifications, then click Add

Manage Supplier contacts

To manage a Supplier's contacts and their eligibility for Automated Notifications, you can either update the Supplier record in Unleashed directly or use the Supplier Contacts Import CSV template to update your suppliers in bulk. 

To update Supplier contacts in Unleashed directly:

  1. Go to the Supplier record in Unleashed and navigate to the Contacts tab.

  2. To update an existing contact's Automated Notification settings, click on the Purchasing field along the contact's row and tick or untick the checkbox. 


  3. When adding a new contact for the Supplier, use the checkbox available to identify whether they should receive Purchasing Automated Notifications, then click Add
