Automated Notifications

The Automated Notification function allows you to control if and when Suppliers or Customer Contacts receive automated email notices.

To manage this setting, go to Settings > System > Automated Notifications

The configurable transaction types are listed, together with specific statuses.  You can choose which transactions and statuses to enable to trigger email notices.

All notifications are disabled by default.

Notifications are available for:

Transaction Order Status
Credit Note Completed
Purchase Order Placed
Sales Invoice Completed
Sales Order Completed
Sales Order Shipment Dispatched
Sales Quote Pending
Supplier Return Completed

 

When Sales Quote [Pending] or Sales Order [Completed] are enabled:

  • Customer Contacts with an email address that are identified as "Ordering" Contacts will receive automated emails
  • If no Ordering Contacts are identified, the Primary Customer Contact will receive an automated email, provided an email address has been captured

When Sales Invoice [Completed] or Credit Note [Completed] are enabled:

  • Customer Contacts with an email address that are identified as "Invoicing" Contacts will receive automated emails
  • If no Invoicing Contacts are identified, the Primary Customer Contact will receive an automated email, provided an email address has been captured

When Sales Order Shipment [Dispatched] is enabled:

  • Customer Contacts with an email address that are identified as "Shipping" Contacts will receive automated emails
  • If no Shipping Contacts are identified, the Primary Customer Contact will receive an automated email, provided an email address has been captured

When Purchase Order [Placed] or Supplier Return [Completed] is enabled:

  • Supplier Contacts with an email address that are identified as "Purchasing" Contacts will receive automated emails
  • If no Purchasing Contacts are identified, the Primary Supplier Contact will receive an automated email, provided an email address has been captured.

 

Make sure you set up your email templates for these automated emails. See Email Templates in Company Settings.
