Details tab
Company Name: This is the name of your company and is available for use on your templates.
Trading Name: This is your trading name which is used as the sender and in the subject line for emails for Sales Quotes, Sales Orders, Credits, Packing Slips, Picklists, Ship Notes, Invoices and Warehouse Transfers.
Trading Name (for Purchasing): This is your trading name used as the sender and in the subject line for purchase orders and supplier returns (if present - otherwise Trading Name is used).
Industry: This is the type of industry you are in, to be selected from the drop-down list.
Organisation Type: This is the type of company you are in.
Base Currency: This is the currency of your company - this is added during account registration.
Dashboard Data Source: This is used to display the type of sales data you want to display on your Unleashed dashboard (Profitability, Activity and Margin). You have the option to either display completed sales order data or completed sales invoice data.
GST/VAT Number: This is your tax number and will print on your orders.
EORI Number: Used for EU Customs and visible if the International Commerce Codes feature is enabled
Website: You can put your company website in this field for reference.
Timezone: This is the timezone you are working in and will be used when time-stamping the transactions.
Financial Year End: You can select the financial year-end for the Dashboard display.
Measurement Units: You can select either imperial or metric as your preferred measurement unit. There is no automatic conversion between the standard options in Unleashed. If you need to convert from one standard to the other (e.g. from metric to imperial), you will need to calculate this yourself.
Date Format: Global date format. Options are:

By default, it is set to dd/MM/yyyy. Once selected and saved, all date references are set in the chosen format.
Configuration tab
Before activating the features below, ensure that they are required. Once enabled, they cannot be deselected.
Order Management: Provides functions to manage sales back orders, pick, pack & dispatch features, and track & trace shipments.
Note: If you have set up per warehouse controls and added bin locations and min/max stock levels, then decide to toggle OFF per warehouse controls, all bin locations and min/max stock levels will be cleared. The individual warehouse stock levels will be summed up and used as your Global min and max stock levels.
It is advisable to export your Inventory Details as a backup. You will be prompted when toggling OFF with a link to the export inventory details tab:
Based on the above example, and turning OFF per warehouse controls will result in:
Batch Tracking: When Batch Tracked is enabled, you can tag each product as 'Batch Tracked', and attach batch numbers to a product (and as many as you like thereafter). See Batch Number Tracking for more info.
Markup Price Update: Provides functions to use Markup Price Updates. When activated, this feature allows you to mark up from the landed cost, last cost, purchase price or even the default sell price.
Sales Quotes: Provides functions to use Sales Quotes, when this is activated you have the opportunity to maximize your sales process within Unleashed.
Require Approval for Purchase Orders: Enforce an approval process for all Purchase Orders.
International Commerce Codes: Disabled by default. When enabled, will display commerce code and country of origin fields for products, commercial shipment terms on shipments and enable commercial invoicing.
Settings tab
Auto Allocation: Enables you to activate the Sales Allocate and Deallocate function. When enabled, it allows you to reserve and un-reserve stock for the sales order.Auto Set Receipt Quantity: Enabled by default. When Auto Set Receipt Quantity is enabled, the receipt quantity on the purchase order will default to the order quantity. If you prefer to manually enter the receipt quantity, you can disable this option and the receipt quantity will default to zero.
Limit Ship Quantity to Availability: For Sales Shipments, the "Ship" Quantity will not include quantities that are already on other open shipments and will be calculated, and limited to, a product's Available Quantity. This is a one-time calculation for the shipment at the point of creation and is not recalculated based on future activity.
Recalculate Component quantities: This feature is designed to allow production managers to enter component quantities, including the amount of wastage and then edit the assembled quantity to match the actual yield of assembled product. A pop-up prompt will ask if the component quantities should be overwritten, based on the Bill of Material and proportional to the new Assembled Quantity.
Tip: Select 'Yes' if you are editing the assembled quantity and want the components to update based on the bill of material. Select 'No' if you would like to edit the assembled quantity and preserve the existing component quantities.
Ship From Multiple Warehouses: Disabled by default. This feature is designed for customers who want to fulfil orders by shipping from multiple warehouses. It is important to note that stock allocations are based on the sales order warehouse. Only once the sales shipments are dispatched will stock availability be updated. Use this feature with caution if you don't tend to dispatch shipments timed with Unleashed.
For location-based tax rates, ensure shipment warehouses have the same tax rates based on the order from/to location tax rate.
Minimum Order Value Limit: Disabled by default. This setting will enable a Pop-Up warning to a user who attempts to complete a Sales Order or Create a Sales Order via a Quote if the Sales Order or Quote has a Sub-Total below the set Minimum Value. The goal is to encourage your sales team to sell over a certain value. Keep in mind this is just a warning & can be overridden if the situation requires it.
Purchase Order Cost Distribution Method: Select the method to use for your cost distributions. The default is "Value". Other options available are Base Quantity, Weight and Volume.
Note - default methods can also be set for individual suppliers.
Address tab
Postal Address & Physical Address: These are the addresses of your company. Use either or both of these addresses on your order templates.
Contact tab
Populate the following contact numbers if you would like to use them on the document designer templates:
- Telephone
- Fax
- Mobile
- DDI
- Toll free
Images tab
Drop image here or click to upload: Drop the image file onto the grey bar or click to browse and select the image files.
Invoicing tab
Footer Details: Use this to, for example, include payment details to your Customers in the footer of your orders.
Default Invoice Date: Enables you to either select from two invoice date options that you want the invoice date to default to, and then display on all invoices created in Unleashed.
If Part Invoicing is not enabled, you get Order Date and Completed Date options.
- Order Date: Displays the dates the sales order was created.
- Completed Date: Displays the date the sales order was completed in Unleashed.
If Order Management is enabled, you get the Order Date and Created date options when exporting to your accounting provider.
- Order Date: Defaults to and displays the date that the order was created in Unleashed.
- Created Date: Displays the order date that the invoice was created.
Purchasing tab
Footer Details: Use this to, for example, include instructions to your Suppliers in the footer of your purchase orders.
Purchase Order Report Print Name: You can specify a different name for printing the report.
Enable: Click to enable the above 2 options for your purchase orders.
Email Templates
Email Templates are available for the following transaction types:
- Credit
- Packing Slip
- Pick List
- Purchase Order
- Sales Invoice
- Sales Order
- Sales Quote
- Ship Note
- Supplier Return
The "From" email address will pre-populate with your Unleashed account's email address. You can change this email address as appropriate should you wish to direct email replies to a particular inbox. You may choose to use an unmonitored email address like noreply@companyname.com.
The email Subject line is pre-configured using available "variables", however, you can change the subject line to suit your audience using free text and/or the available variables (click on the variables button). You can always "undo" the changes to the subject line using the undo button if you want to revert to the default subject line.
The email Body is a free text to contain an appropriate message for the particular transaction, together with any instructions you wish to convey.
Click on Email Preview if you wish to receive and preview your email based on the layout and content. Note that the email previewing function ignores the "From" address in this case - an email will be sent to the email address of the User logged in to Unleashed.
