Shipment Enquiry

The Shipment Enquiry is predominantly designed as a reporting tool for warehouse staff to monitor and process open shipments. The Shipment Enquiry displays the each shipment that has been created from Sales Orders (SO) in Unleashed and can be filtered to refine which shipments are populated to more efficiently manage your shipments. 

You can access the Shipment Enquiry report from the main menu, just go to Reports, Sales and select Shipment Enquiry.

Points to note

  • By default, the Shipment Enquiry is filtered for Shipments with an Open status. The Open status applies to any Shipment in either: Parked, Placed, Picking, Picked or Packed.
  • The Shipment Enquiry cannot be filtered by a Sales Order number if a shipment has not been created for it. 

Functional descriptions

Header button descriptions

In the top right corner of the Shipment Enquiry, there are two header buttons available:

  • Export: Use the dropdown menu to export the report in either a PDF, CSV or XSLX format.
  • Run: Use the Run button to generate the report with any selected filters applied.

Filter field descriptions

Use the filter fields available to refine which Shipments the Shipment Enquiry report displays. The filter fields available to the Shipment Enquiry are:

  • Transaction Date: Use the dropdown menu to select which date type the date fields apply to:
    • Required Date
    • Dispatch Date
  • Date From: Select a date in the field's calendar.
  • Date To: Select a date in the field's calendar.
  • Sales Order Number: Filter the shipments created for a specific SO, using the SO's reference number.
  • Shipment Number: Filter the shipments using the Shipment's reference number.
  • Shipment Status: Use the dropdown menu to filter the shipments by the selected shipment status:
    • Open
    • Parked
    • Placed
    • Picking
    • Picked
    • Packed
    • Dispatched
    • Deleted
  • Shipping Warehouse: Use the multi-select dropdown menu to filter the shipments by the warehouse allocated in the shipment (regardless of the SO's warehouse).
  • Printed: Use the dropdown menu to filter shipments by whether it's ship note has been printed. The options available are Yes or No. 
  • Shipping Company: Use the dropdown menu to filter shipments by the Shipping Company allocated to the Shipment. 
  • Tracking Number: Use the free text field to filter shipments by their tracking number. The field works as a partial match and will populate any quotes that contain the filtered text. 
  • Customer Code: Filter shipments by a specific Customer, using their the Customer Code.
  • Customer Name: Filter shipments by a specific Customer, using their the Customer Name.
  • Customer Reference: Use the free text field to filter all shipments by their SO's Customer Reference. The field works as a partial match and will populate any quotes that contain the filtered text. 

Grid column descriptions

By default, the following columns will populate in the Shipment Enquiry's grid:

  • Required Date: Displays the Shipment's required date. The date will be highlighted in red if the Required Date has passed and the Shipment is not in Dispatched status.
  • Dispatch Date: Displays the date the Shipment was updated to Dispatched status in Unleashed.
  • Shipment: Displays the Shipment's reference number as a hyperlink, which will direct you to the Shipment's page.
  • Sales Order: Displays the Shipment's Sales Order reference number as a hyperlink, which will direct you to the SO's page.
  • Shipment Status: Displays the current status of the Shipment. 
  • Shipping Company: Displays the Shipping Company allocated to the shipment. This field is blank if no Shipping Company has been assigned the shipment.
  • Customer Ref: Displays the Customer Refences entered on the Sales Order of the shipment.
  • Tracking Number: Displays the shipment's tracking number, if one is provided in the shipment's page.
  • Customer Code: Displays the customer's code as a quick link, which will direct you to the customer's record. 
  • Customer Name: Displays the customer's name as a quick link, which will direct you to the customer's record. 
  • Shipping Warehouse: Displays the name of the warehouse allocated to the shipment, regardless of the Sales Order's Order Warehouse. 
  • ActionDisplays and Action Cog icon which provides the option to action any of the following tasks:
    • Edit
    • Print Picklist
    • Print Ship Note
    • Print Commercial Invoice
    • Email Picklist
    • Email Ship Note
    • Create Invoice
    • Dispatch

Hidden Columns

Using the Hidden Columns button you can choose which columns are shown on the grid and where. To add or remove a column, simply drag and drop the columns you like to and from the Hidden columns box.

The following column headers are also available to include on your Shipment Enquiry and can be found in Show Toolbar, Hidden Columns:

  • Contact Email
  • Contact Name
  • Contact Phone
  • Customer Type
  • Printed
  • Shipment Comments

Using the custom grids

Depending on what sort of information you require, you can enter the relevant criteria and then click Run at the top on the banner. Using the toolbar above the grid, you can manipulate how the filtered information is displayed in the grid as follows:

  • Group By Column(s): To group by a desired column, simply drag and drop the column header it into the grey tile space above the grid's header row. As soon as you drop it the grid the enquiry page will group all results by the dropped column's values. You can group by as many columns as you like and expand all or collapse all the groups using the plus or minus icons shown on the left of the grid.
  • Customize Columns Shown: Using the Hidden Columns button you can choose what columns are shown on the grid and where. Drag and drop a column across the grid's headers to re-arrange their order and position in the grid. Similarly, adjust a column's size by dragging it's side to the desired width.
  • Sort by column: Click on a column's header to sort the report by that field. Click the header once to sort into descending order and click again to sort into ascending.
