Purchase Enquiry
FollowThe Purchase Enquiry is a report that shows the products that have been included on Purchase Orders (PO) in Unleashed, at any given status. The report details the Supplier each PO has been created for along with the products, quantities and prices ordered.
You can access the Purchase Enquiry report page from the main menu, by going to Reports, Purchases, Purchase Enquiry.
Functional descriptions
Header button descriptions
In the top right corner of the Transaction Enquiry, there are two header buttons available:
- Export: Use the dropdown menu to export the report in either a PDF, CSV or XSLX format.
- Run: Use the Run button to generate the report with any selected filters applied.
Filter field descriptions
Use the filter fields available to refine which purchases the Purchase Enquiry report displays. The filter fields available to the Purchase Enquiry are:
- Date From: Select a date in the field's calendar.
- Date To: Select a date in the field's calendar.
- Transaction Date: Use the dropdown menu to select which type of date the Date From and To filters apply to:
- Order Date
- Delivery Date
- Receipt Date
- Supplier Invoice Date
- Purchase Order Number: Filter by a specific Purchase Order, using the order's reference number.
- Purchase Order Status: Use the multi-select dropdown menu to filter purchases by their current transaction status (includes custom Purchase Order Statuses).
- Sales Order Number: Filter purchases by a specific Sales Order, using the Sales order's reference number. This filter only applies to Purchase Orders created from a Sales Order in Unleashed. (see How to create a Purchase Order from a Sales Order)
- Product Group: Use the multi-select dropdown menu to filter by products on purchases by their product group.
- Product Code: Filter by a specific product by code.
- Product Description: Filter by a product description (will auto-populate if the Product Code filter is used).
- Supplier Code: Filter purchases by a specific Supplier, using their the Supplier Code.
- Supplier Name: Filter purchases by a specific Supplier, using their the Supplier Name.
- Supplier Reference: use a Supplier Reference if necessary to filter on
- Warehouse: Use the multi-select dropdown menu to filter purchases by receipting warehouse.
- Quantity Pricing Only: Tick the checkbox to filter for purchases Supplier Quantity Pricing was applied.
Grid column descriptions
By default, the following columns will populate in the Purchase Enquiry's grid:
- Order No.: Displays the PO's reference number as a quick link, which will redirect you to the purchase's page.
- Order Date: Display a date for the PO, populated from the purchase's Order Date field.
- Delivery Date: Display a date for the PO, populated from the purchase's Delivery Date field.
- Receipt Date: Display the date the PO was updated to Receipted status in Unleashed. If the PO has not been receipted or completed, the Receipt Date will be blank.
- Warehouse: Displays the name of the warehouse allocated to the PO.
- Supplier: Displays the name of the PO's Supplier as a quick link, which will redirect you to the Supplier's page.
- Product Code: Displays the product's code as a quick link, which will redirect you to the transaction's page.
- Products Description: Displays the product's description as a quick link, which will redirect you to the transaction's page.
- Product Group: Displays the name of the Product Group the product's allocated to.
- Sales Order Number: If the PO was created from a Sales Order, the Sales Order's number will be displayed as a quick link, which will redirect you to the Sales Order's page.
- Order Status: Displays the current status of the Purchase Order.
- Base Unit Qty: Displays the quantity ordered for the product, in it's base unit of measure (see Multiple Units of Measure).
- Landed Cost: Displays the PO's calculated landed cost of that product line, in your account's base currency.
Hidden Columns
The following columns are available to add to your grid. To see the list of available columns, click on "Show toolbar" on the top right of the grid.
Comments: displays any comments associated with the Purchase Order lines
Costing Total: displays the costs, if any, associated with the Purchase Order
Currency Code: the currency code of the Supplier
Exchange Rate: displays the exchange rate percentage if applicable
PO Comments: displays the comment from the Purchase Order comment box
Quantity Pricing: Displays a tick if quantity pricing is applied
Receipt Quantity: the receipted quantity
Sub Total: displays the sub-total of the Purchase Order in the Supplier currency
Sub Total (currency): displays the sub total in your base currency
Supplier Code: the unique Supplier Code for the Supplier
Supplier Invoice Date: displays the date of the Supplier's invoice
Supplier Product Code: the Supplier's Product Code
Supplier Ref: the reference used for your Supplier
Unit Price: displays the individual unit price
Volume: displays the calculated volume of the order
Weight: displays the calculated weight of the order
Using the custom grids
Depending on what sort of information you require, you can enter the relevant criteria and then click Run at the top on the banner. Using the toolbar above the grid, you can manipulate how the filtered information is displayed in the grid as follows:
- Group By Column(s): To group by a desired column, simply drag and drop the column header it into the grey tile space above the grid's header row. As soon as you drop it the grid the enquiry page will group all results by the dropped column's values. You can group by as many columns as you like and expand all or collapse all the groups using the plus or minus icons shown on the left of the grid.
- Customize Columns Shown: Using the Hidden Columns button you can choose what columns are shown on the grid and where. Drag and drop a column across the grid's headers to re-arrange their order and position in the grid. Similarly, adjust a column's size by dragging it's side to the desired width.
- Sort by column: Click on a column's header to sort the report by that field. Click the header once to sort into descending order and click again to sort into ascending.
