Stock Counts in Unleashed can be used as a way of auditing your inventory, ensuring your physical stock on hand is accurately represented by the system in real-time, whilst identifying any variances or discrepancies. 

The Stock Counts page provides an overview of the Stock Counts that have been created in your account so far. The page can be filtered by Status and Warehouse, meaning you can monitor the progress and completion of your Stock Counts more acutely.

From the main menu, navigate to the Inventory module and select Transactions, Stock Counts. 
By default, the Stock Count page is unfiltered and will populate all Stock Counts created for all Warehouses, whether they're In Progress, Completed or Deleted.

Header button descriptions

From the top right corner of the Stock Count page there are two button options available:

  • Import Count: Takes you to the Import Stock Count page, where you can choose to create Stock Counts with a CSV template.
  • Add Count: Takes you to the Create Stock Count page where you can choose which products to include in a new Stock Count. 

Header field description

Status: Use the drop-down menu where you can select the specified status that you want to filter for. The filters available are:

  • All: displays all of your stock counts, no matter the specified status assigned.
  • In Progress: displays all current stock counts that are assigned the In Progress status in your Unleashed account. These are unfinished counts, they are created but not completed.
  • Completed: displays all current stock counts that are assigned to the Completed status in your Unleashed account. Once complete, all of your stock is updated in Unleashed, and the stock becomes unfrozen.
  • Deleted: displays all current stock counts that are assigned to the 'Deleted' status in your Unleashed account. Stock counts in this status will still appear and be able to be searched for, it is just that the stock count is deleted and therefore has no impact on your stock going forward.

Warehouse: Drop-down menu where you can select the specified warehouse that you want to filter for.

 

Grid header columns

Header Description
Stock Count Number Displays the specified stock count number available on the list.
Stock Count Name Displays the name of the Stock Count, this is specified by the user but can be left blank.
Warehouse Lists the name of the warehouse that the stock is located in.
Status Displays the status of the stock count, i.e. All, In Progress, Completed and Deleted.
Starts Date Displays the start date of the specified stock count at line level.
Number of Products Lists the number of products that the stock count holds.
Count Progress Displays the progress made of the specified stock count at product line level. 

Manage Stock Counts

Once a Stock Count has been completed, it can no longer be edited or deleted, though you will still be able to print and export it (see Add a Stock Count). When completed, any changes to a product's stock on hand will be actioned with a Stock Take Adjustment, which can be further reviewed in the Transaction Enquiry. 

However, Stock Counts with the In Progress status can be edited at any time by selecting the hyperlink on either the count's Stock Count No. or Stock Count Name.
