Before You Begin

You must import product and related details using the Unleashed templates. You can import/export products, stock on hand, batch numbers, serial numbers, supplier details, pricing and inventory details. 

Read the following topics to understand the correct process details and avoid common errors:

Go to Inventory | Products | Import/Export, download the required template and enter data in the format specified.

Exporting Product Data

You can export a pre-populated template of your products' data to make amendments in bulk.

  1. Go to Inventory, then select Products and Import/Export.
  2. In the top right of the Import/Export page, click green Export to export the Products template by default.
  3. Alternatively, use the green Export button drop-down list to select either Products, Stock On Hand, Serial Numbers, Batch Numbers, Product Suppliers, Inventory Details, Product Attributes, Product Pricing, Supplier Quantity Pricing or Alternative Units of Measure.
  4. A CSV file is generated matching the template's required layout.

Tip: If updating existing product records it's best practice to save a copy of the original export as a back-up copy. Once a template is successfully imported to Unleashed the upload cannot be reversed and you will not be able to revert to the previous version.

Importing Products

  • All products must have a Product Code and Product Description. You can leave the other columns blank if there are no related values.
NOTE:  Removing existing values in a row will cause the update to replace the values with null and remove the existing data.  Only remove values if you want to clear the field(s).
  • If you want to enter new values for Supplier Code, Supplier Name, and Product Groups you can enter them in the respective columns. The corresponding details will be created after the import.
  • A Last Cost value for a specific product can be set in the template but will be overwritten by the most recent purchase price or assembled cost for that product.
  • If the sales tax rate is 15%, you must enter it as 15. Do not include the % symbol.

Importing Stock On Hand

  • This import is only for new products. DO NOT use this import for existing products with available stock on hand.
  • The Stock On Hand import allows you to upload the starting quantities and values of all your product codes, and also correctly split them by location.
  • You must verify and enter the correct values for the Stock on Hand (SOH) import. The stock value and quantity are recorded based on the values you import. 
  • You must enter the Product Code and Warehouse Code for the product. 
  • Average Land Cost is the value PER UNIT, not the total of all SOH. The AverageLandPrice column is used to enter the cost/value per unit of your product. The SOH multiplied by this amount is the total value of stock.
  • Serial Number: Enter each serial number on a different row.

     

  • Batch Number and Expiry Date: Enter the batch number and associated expiry date in the DD/MM/YYYY format.

A product can have either a serial number OR batch number.

 

Importing Serial Numbers

If you want to enable serial tracking for your existing products and assign serial numbers, use the template to import the required values.

  • This import is only for existing products with SOH. If you are setting up your products for the first time then you must use the Products and SOH Import templates. 
  • Before you import Serial Numbers, ensure that your current stock on hand quantity matches the total serial numbers you will upload.
  • For template field definitions, see Import Serial Numbers field definitions.

Importing Batch Numbers

If you want to enable batch tracking for your existing products and assign batch numbers, use the template to import the required values.

  • This import is only for existing products with SOH. If you are setting up your products for the first time then you must use the Products and SOH Import templates.
  • Before you import Batch Numbers, check that your current stock on hand quantity matches the exact total of batch numbers you will upload.
  • Unleashed currently only supports the DD/MM/YYYY date format.
  • For template field definitions, see Import Batch Numbers field definitions.

Importing Product Suppliers

You can assign multiple suppliers for a product. Use this template to import product suppliers in bulk for existing products.

  • This import is only for existing products. If you are setting up your products for the first time then you must use the Products and SOH Import templates.
  • For template field definitions, see Import Product Suppliers field definitions.

Importing Inventory Details

You can store your products in different warehouses. Use this template to import inventory details in bulk for existing products.

  • This import is only for existing products. If you are setting up your products for the first time then you must use the Products and SOH Import templates.
  • This import is available only if you have enabled the Per Warehouse Controls option under Settings | Company.

Importing and Exporting Product Attributes

Product attributes is a way to record product data in the form of attributes belonging to attribute sets. You can create attribute sets containing a list of attributes and assign it to a product for reference purposes.  

Importing product attributes

  • Ensure that you have created the attribute set before you import the attributes. For more information, see Product Attributes.
  • You can download the template and import product attributes for one attribute set at a time.
  1. Click Download Product Attributes Template File.
  2. Select the attribute set from the drop-down list.
  3. Click Download. For template field definitions, see Import Product Attributes Field Definitions.

Exporting product attributes

You can export only one attribute set at a time.

  1. Go to  Inventory | Products | Import/Export | Export | Product Attributes.
  2. Select the attribute set from the drop-down list.
  3. Click Download. A CSV file is generated with the details.

Importing Product Pricing

If you want to provide a special price or discount for products, you can import multiple product records using this template. For more information, see Quantity Prices.

This import must be used ONLY for existing products. You cannot create a new product using this import.
  1. Click Download Product Pricing Template File.
  2. Enter data in the template format. For field definitions, see Import Product Pricing-field-definitions
  3. Save the file and upload it.
Delete All Product Prices: If you want to update the quantity pricing for all products, you must delete all product prices and then re-import. Ensure that you have exported the existing details for reference before you delete all product prices.

Importing Supplier Quantity Prices

If you want to provide Supplier quantity pricing or discounts for products, you can import multiple supplier/product records using this template. For more information, see Supplier Quantity Prices.

This import must be used ONLY for existing suppliers of your products. You cannot create a new product, a new supplier or a product/supplier relationship using this import.
  1. Click Download Supplier Quantity Prices Template File.
  2. Enter data in the template format. For field definitions, see Import Supplier Quantity Prices. 
  3. Save the file and upload it.

Importing Alternate Units of Measure

If you want to add alternative units of measure to a product for use in Purchase Orders, you can update multiple product records with multiple units of measure using the Alternate Units of Measure template. For more details, see Multiple Units of Measure.

This import can only be used if the alternative unit of measure exists in your Unit of Measure page in your Settings. 

  1. Click Download Alternate Units of Measure Download Template File
  2. Enter data in the template format. For field definitions, see Import Alternate Units of Measure
  3. Save the file and upload it.
