Import Customer Pricing

The Import/Export Customers page allows you to export, manage and create customer data, including customer specific pricing, in bulk.

From Unleashed's main menu, go to Customers and select Import/Export, here you'll see a tab per customer data set that can be exported or managed via import (CSV) templates. The customer data sets available are:

  • Customers
  • Delivery Addresses
  • Customer Contacts
  • Customer Pricing 

Within each tab you'll see a "Download" button specific to the tab's data set, e.g. "Download Customers Template File". This button will download a blank CSV template which you'll use to upload new or update Customer data. When uploading a template to Unleashed, you must upload it to the appropriate tab on the Import/Export page. If a template is not uploaded through the matching tab the import will fail.

Click on the green "Export" dropdown menu in the Import/Export page to download a CSV template pre-populated with Unleashed's existing customer data. The exported template can be edited and uploaded back into Unleashed to efficiently update existing records in bulk. Similarly, it's a useful tool for obtaining a hard copy of your Customer details.

Read the following topics to understand the correct process details and avoid common errors:

Upon each import, a notification will be displayed in the banner at the top of your Unleashed page to confirm the upload is in progress:

  • Orange circle: In progress
  • Red cross: Import failed or had errors.
  • Green tick: Import completed successfully. 

If the import has completed successfully, the Customer details in Unleashed will update accordingly. If the import was not successful, any errors found will be listed in the notification tab and a summary will be emailed to your user email. 

WARNING: Import templates that have been uploaded to Unleashed cannot be stopped, reversed or cancelled. Any changes made from an import will replace the previously saved data. We recommend saving an original export prior to importing any updates as a back-up. 

Export Customers

Export the current data saved against your customer records into a CSV file, in the same format as an import template, using the Export button in the Import/Export page. The pre-populated export can then be used update customers in bulk by re-importing it after edits have been made.

Tip: If updating existing customers it's best practice to save a copy of the original export as a back-up copy. Once a template is successfully imported to Unleashed the upload cannot be reversed and you will not be able to revert to the previous version.

To export a pre-populated template for your customers:

  1. From Unleashed's main menu, go to Customers and select Import/Export. 
  2. In the top right of the Import/Export page, click the Export dropdown icon.
  3. Select the customer data set you want to export from the list displayed, as below:
    • Customers
    • Delivery Addresses
    • Customer Contacts 
    • Customer Pricing
  4. A pre-populated CSV file will be generated matching the data set's import template's layout.

The Customer Pricing export will retrieve details for ALL customers. If you want customer pricing details for a single customer, you must use the Export button on the Customer's record, in it's Customer Pricing tab.

Import Customers

To create customers or update customer details e.g. Sell Price Tiers, Customer Types and Postal and Physical Addresses, in bulk use the Customer template:

  1. From Unleashed's main menu, go to Customers and select Import/Export.
  2. To import new customers select "Download Customer Template File" in the Customers tab. To update existing customers select Export > Customers.
  3. Enter the new/existing Customer's data into the template. For field definitions, see Import Customers field definitions. 
  4. Save the template in CSV format.
  5. Return to the Import/Export Customer page, select the Customer tab and import the updated CSV file via the upload tile.
    NOTE: Only the Customers import can create new customers in Unleashed.

Import Delivery Addresses

To add or update the delivery addresses saved per customer in bulk:

  1. From Unleashed's main menu, go to Customers and select Import/Export.
  2. To update existing addresses click on the Export dropdown and select Delivery Addresses. To create new addresses per customer go to the Delivery Address tab and click "Download Delivery Address Template File".
  3. Update or enter the each customer's delivery address data in the template. For field definitions, see Import Delivery Address field definitions.
    NOTE: Ensure that you specify the "Delivery Address Name" for each address.
  4. Save the template in CSV format.
  5. Return to the Import/Export Customer page, select the Delivery Address tab and import the updated CSV file via the upload tile.

Delivery Addresses cannot be deleted from a Customer's record, but they can be obsoleted. 

Import Customer Contacts

To add or update the contacts saved per customer in bulk:

  1. From Unleashed's main menu, go to Customers and select Import/Export.
  2. To update existing contacts click on the Export dropdown and select Customer Contacts. To create new contacts per customer go to the Customer Contacts tab and click "Download Customer Contacts Template File".
  3. Update or enter the each customer's contact data in the template. For field definitions, see Import Customer Contacts field definitions.
    NOTE: Ensure that you enter a unique combination for the First Name + Last Name for the customer contact. If the First Name + Last Name combination already exists, then the existing contact will be updated.
  4. Save the template in CSV format.
  5. Return to the Import/Export Customer page, select the Customer Contacts tab and import the updated CSV file via the upload tile.

If you have integrated with an accounting provider (e.g. Xero or Quickbooks), you must specify an email address for the default customer contact.

Customer Contacts cannot be deleted using the Import Customer Contacts template. Contacts can only be deleted manually in Unleashed.

Import Customer Pricing

If you're using customer specific pricing (see Customer Pricing) for your sellable products, update or add new prices for multiple Customers at once:

  1. From Unleashed's main menu, go to Customers and select Import/Export.
  2. Go to the Customer Pricing tab and click "Download Customer Pricing Template File", a blank Customer Pricing CSV template will be downloaded. 
  3. Enter the new/existing Customer Pricing data into the template. For field definitions, see Import Customer Pricing field definitions.
    NOTE: The Customer and Product (or Product Group) must currently exist in Unleashed. 
  4. Save the file in CSV format.
  5. Return to Unleashed's Customer Import/Export's Customer Pricing tab and use the "upload" space to import the CSV file. 

NOTE: ON AVERAGE, THIS PROCESS TAKES 75 MINUTES TO PROCESS 10,000 ROWS

Update Customer Pricing

Existing Customer Pricing will update using the Customer Pricing template if all the following conditions are true:

  • The CSV row specifies the CustomerCode and ProductCode.

  • The CSV row does not specify any of Product Group, MinimumQuantity, ValidFrom, and ValidTo.

If the above condition is met, then the following field values will be updated from their respective CSV columns:

  • PriceType (ie. IsFixedPrice, IsDiscount)

  • Price/DiscountValue

  • Comments

  • Obsolete

  • ShowDiscount

  • DiscountFrom (ie. SellPriceTier or DefaultSellPrice)

Update Customer Pricing for all customers

If you want to update the customer pricing for all customers, you must delete all existing customer prices and then re-import. The reason for this is that individual customer prices cannot be identified and must therefore be re-introduced.
NOTE: Make sure that you have exported the original customer pricing for reference before you delete all customer prices.

  1. From the main menu, go to Customers, Import/Export and select the "Customer Pricing" tab. 
  2. Select the red "Delete All Customer Prices" button.
  3. All Customer Pricing set in each Customer record will be deleted.
