Import Customers

You must import customer details using the Unleashed template. You can import customers, delivery addresses, customer contacts, or customer pricing.

Go to Customers | Import/Export and select the required import/export options.

Before You Begin

Read the following topics to understand the correct process details and avoid common errors:

Importing Customers

  1. Click Download Customers Template File.
  2. Enter data in the template format. For field definitions, see Import Customers field definitions. 
  3. Save the file and upload it.

Importing Delivery Addresses

You can import or update multiple delivery addresses for a customer. Ensure that you specify the Delivery Address Name for each address.

  1. Click Download Delivery Address Template File.
  2. Enter data in the template format. For field definitions, see Import Delivery Address field definitions. 
  3. Save the file and upload it.

Importing Customer Contacts

  • You can import or update multiple customer contacts using this template.
  • Ensure that you enter a unique combination for the First Name + Last Name for the customer contact. If the First Name + Last Name combination already exists, then the existing customer contact details will be overwritten. 
  • If you have integrated with Xero, you must specify an email address for the default customer contact.
  1. Click Download Customer Contacts Template File.
  2. Enter data in the template format. For field definitions, see Import Customer Contacts field definitions. 
  3. Save the file and upload it.

Importing Customer Pricing

If you want to provide a special price or discount for products - for specific customers, you can import or update multiple customer records using this template. For more information, see Customer Pricing.

This import must ONLY be used for existing customers and products.

You cannot create a new customer or product using this import.

  1. Click Download Customer Pricing Template File.

  2. Enter data in the template format. For field definitions, see Import Customer Pricing field definitions.  

  3. Save the file and upload it.

Note: Existing Customer Pricing rows will update if the following conditions are true:

  • the CSV row specifies the CustomerCode and ProductCode, AND

  • the CSV row does not specify any of Product Group, MinimumQuantity, ValidFrom, and ValidTo

If the above condition is met, then the following field values will be updated from their respective CSV columns:

  • PriceType (ie. IsFixedPrice, IsDiscount)

  • Price/DiscountValue

  • Comments

  • Obsolete

  • ShowDiscount

  • DiscountFrom (ie. SellPriceTier or DefaultSellPrice)

NOTE: ON AVERAGE, THIS PROCESS TAKES 75 MINUTES TO PROCESS 10,000 ROWS

Updating customer pricing for all customers: If you want to update the customer pricing for all customers, you must delete all customer prices and then re-import (see clickable "Delete" button on Import/Export page).

The reason for this is that individual customer prices cannot be identified in the CSV unless the above conditions are met.
Make sure that you have exported the existing details for reference before you delete all customer prices.

 

Exporting Customer Details

You can export customers, delivery addresses, customer contacts, or customer pricing you have created in Unleashed to a CSV file.

The customer pricing export will retrieve details for ALL customers. If you want customer pricing details only for a specific customer, you must use the Export button on the specific Customer page.
  1. Click Export to export customers by default. The customer export file can be downloaded from the Tasks menu .
  2. Alternatively, use the Export button drop-down list to select either Customers, Delivery Addresses, Customer Contacts, or Customer Pricing.
  3. A CSV file is generated with the details.
