Summary
There are multiple ways to create a Sales Invoice in Unleashed which allows you to support your workflows. These methods enable you to manage your orders based on your current workflows.
Steps
Creating a Sales Invoice from a Sales Order:
- Within a Sales Order, hover on the top right and click the drop-down arrow next to Order.
- Click Create Invoice.
- This will refresh the page to show you to created invoice.
Creating a Sales Invoice for Selected Products:
This is useful if you only want to invoice specific products at a time and will only create an invoice for the products selected - this method requires products to already be present in the Order Lines.
- In the Sales Order, navigate to the Order Lines section.
- On the left of each product, tick the products you would like to invoice.
- Once you've selected your products, hover over the Action Cog.
- Select Invoice.
- The page will then refresh to show you the invoice for the products you've selected.
Creating a Sales Invoice from the View Sales Orders page:
This method requires an already existing Sales Order.
- Navigate to Sales > Orders > View Sales Orders.
- Hover over the Action Cog on the right of the Sales Order you'd like to invoice.
- Click Invoice.
- The page will refresh to show you the invoice for the Sales Order.
Creating a Sales Invoice via the "Complete" button on a Sales Order:
You can also create an Invoice by simply clicking the Complete button of the Sales Order. Please note that this would dispatch a shipment (decrease your stock) and also create and complete an invoice simultaneously.
Marking a Sales Invoice when a Payment is Received:
You can flag an Invoice when a payment is received to assist with the following:
- indicate that a deposit, part or full payment has been received from your customer
- communicate that a payment has been received to other Unleashed users in your company
- streamline shipping processes where part or full payment is required upfront
The Invoice(s) can be flagged from:
- The View Invoices Page (via the bulk action cog, or the single action cog)
- The Invoices tab on the Sales Order
- The Invoice itself from the Invoice dropdown menu
Once Payment Received is set, the Invoice will be stamped as "Payment Received" and the Payment Received column will be ticked.
Note: "Payment Received" is a flag and does not change the status of the invoice. An invoice can be tagged with a payment regardless of status.
Add the Payment Received column to your View Invoices grid via the Toolbar > Hidden Columns option.
