B2B Store: Request Access Form

The B2B Store's Request Access Form is the perfect vehicle for collecting important information off prospective clients or customers, prior to granting them access to your B2B Store. Ideal for B2B organizations where product list information and ordering is restricted due to industry, legislation, or to simply "keep your cards to your chest".

Request Access Settings

To access your B2B Store's Request Access Settings:

  1. Go to your B2B Store and login as a Store Administrator.

  2. Select Settings, in the top right corner of the B2B Store.

  3. Select Customers in the main menu, then select Request Access Form.

Allow new customers to Request Access from the store Login page

When the "Display B2B store page" setting is disabled for your B2B Store's Guest Access settings, all visitors of your B2B Store will initially be directed to it's login page. Invited or existing Customers of your B2B Store can simply log in, review your products and create orders on your B2B Store, but guests will have to select "Continue as a Guest" for immediate access. As access for guests to your B2B Store may have limitations, based on the store's configurations and setups, it's beneficial to enable the "Request Access" form in your B2B Store to encourage guests to transition to being invited as a Customer.

  • Toggle ON the "Allow new customers to Request Access from the store Login page" setting in the B2B Store's "Request Access Settings" page and allow guests of your B2B Store the opportunity to be invited as a Customer in the future. 

  • Toggle OFF the "Allow new customers to Request Access from the store Login page" if you'd prefer to provide an 'open door policy' to guests of your B2B Store. 

Requesting access to your B2B Store does not automatically provide a guest with Customer access. They will still need to be set up in your Unleashed account as a Customer and invited to join, but in the meantime can select "Continue as a Guest" if "Allow guests to browse the store" is enabled in your B2B Store's settings (see B2B Store: Guest Access).

NOTE: This setting can be enabled or disabled at any time. 

Indicate which fields should be visible and mandatory to complete for new customers

If a guest selects "Request Access" from the B2B Store's login page, they will be taken to the B2B Store's "Request Access" submission form, in which they'll fill in your store's required details. Once the form has been submitted by the guest, it will be emailed to your B2B Store Administrator, who can then follow-up, create them as a Customer in Unleashed and invite them via the B2B Store (see B2B Store: Customers).

Use the options available in the B2B Store's Request Access Settings to customize the Request Access Form's content and required fields.

Visible and Mandatory fields

Use the checkboxes displayed in your B2B Store's Request Access Settings to decide which fields will be visible to prospective customers and which are mandatory when filling in the Request Access Form. 

  • Visible: If ticked, the field will be displayed in the guest's Request Access Form but is not a required field. 
  • Mandatory: If ticked, the the field will also be ticked as visible and the guest will be required to fill in the field before then can successfully submit their request form. 

The following static fields are available on the Request Access Form and are set as Visible by default:

  • Email 
  • Company Name
  • Contact First Name
  • Contact Last Name
  • Phone Number
  • Address 
  • State 
  • Country
  • Website 
  • EORI Number 
  • Account Holder (check box)
  • Message

Note: The Email and Company Name fields are mandatory fields. These cannot be hidden or marked as optional.

Dynamic Fields

Alongside the static fields you will also have three custom fields available to use. These custom fields are initially named "Dynamic Field", but you can edit dynamic field's name by clicking on the pencil icon per field. Click Done after updating the field's name and the new name will be displayed on your Request Access Form.

Custom order

Customize the order in which your form's fields will be displayed by drag and dropping them into position. Hover over a field's name, then click and drag the field by it's 6-dot icon. As soon as the field's dropped the form's order will be updated and saved accordingly. 

Preview

Looking to see how your custom Request Access Form looks? Select the preview button in the top right hand corner to see how your form will show for your B2B Store's guests. You can also review how a submitted form will be sent to your B2B Store Administrator by filling in the Preview and selecting Submit


Accepting Store Access Requests

Once a prospective client as filled out & submitted the request access form then the details of this form will be sent to the Contact Email Address (B2B Store Contact Details) via email for review: 

 

Create Your New Customer 

If you would like to approve your new customers access to your store, simply select the "Create/View Customer" button within the email: 

This action will automatially create a Customer Record within the connected Unleashed account with the details contained within the email. 

Note: The Customer Code within the Unleashed account will be automatically generated with the Prefix "Cust" & the next available numerical value up to 8 digits e.g "CUST-00000795". This Customer Code can be edited if required via the Customer Change Code function.

Invite Your New Customer 

As your new customer is automatically created in Unleashed you will be taken to the record of this customer & contact within your B2B Store. 

Simply select "Send Invitation" to email an invitation to create an account to your new customer.
