How to set up and establish mappings for new products with the Shopify Integration

Points to note

  • If creating product records in Shopify, always create new product records for new SKU's. Overwriting existing product SKU's will break the mapping. If this happens, please contact the Support team
  • You can have Shopify as master if you have just one store, you can only have Unleashed as master for more than one store.
  • If you have Unleashed as master and only one store, when you add new products, this will automatically export them to Shopify
  • If you are creating your products in Unleashed and exporting them to Shopify, this will only ever create single variant products. We do not recommend having Unleashed as master if you have variants in Shopify.

Shopify Product Synchronization 

There are three different ways to establish and sync your product details from Unleashed with Shopify integration:

  1. Product Synchronization is Enabled: Unleashed is master.
  2. Product Synchronization is Enabled: Shopify is master.
  3. Product Synchronization is disabled. 

Product Synchronization is Enabled: Unleashed is master

When Unleashed is master, product details in Unleashed will be exported to Shopify and will update the Shopify SKU to match. If new products are added to Unleashed they will automatically be exported and created in Shopify as a single variant product. 

If you have more than one Shopify store integrated, you will need to follow the below steps to export your products to Shopify:

  1. From the main menu, click eCommerce Hub.

  2. Select Shopify.

  3. Select the Manage your Products tab, from the top of the page.

  4. From the list of products, use the checkboxes to tick the products in Unleashed that you would like to export to and sync with Shopify. 

  5. At the bottom of the page, select Save Configuration.

NOTE: If you navigate to the next page before saving the configuration, this will not save changes from the previous page.

If you would like your products to be published to your online store straight away, ensure the setting Auto Publish to Online Store is enabled in your Shopify store's Configuration.

Product Synchronization is Enabled: Shopify is master

When Shopify is master, product details in Shopify will import to and update Unleashed's product record to match and will successfully sync variants from Shopify. 

If you have more than one Shopify store integrated with Unleashed, the Shopify is master option will not be available. 

To establish mappings for new products with Shopify is master, see the below steps:

  1. Create the product in Shopify with a unique SKU.

  2. In the eCommerce Hub's Shopify page, select Configure and in the Configuration tab, enable Create Missing Products in Unleashed and Save Configuration. 
  3. Select the Manage you Data tab.

  4. Select Import for Import Products from Shopify to Unleashed. 

  5. Any SKU that exists in Shopify will be imported and synced to Unleashed:
    • If the SKU already exists in Unleashed, the existing product will be updated with the SKU's product details.
    • If the SKU does not exist in Unleashed, a new product will be created in Unleashed with the SKU's details from Shopify.

Product Synchronization is disabled

When you have more than one store integrated, but use variant SKU's in Shopify or do not want details from Unleashed's product record to update the SKU in Shopify, disable the Product Synchronization setting. When Product Synchronization is disabled the stock on hand and availability will continue to sync from Unleashed to Shopify (if enabled to do so in Stock Configuration) but product details are not synced from one platform to another and will require manual updates instead. 

To sync and map new products when Product Synchronization is disabled, follow the below steps:

  1. Create the product in both Shopify and Unleashed. The SKU in Shopify must match the Product Code in Unleashed.

  2. In the eCommerce Hub's Shopify page, select Configure and in the Configuration tab, disable Create Missing Products in Unleashed and Save Configuration. 
  3. Select the Manage you Data tab.

  4. Select Import for Import Products from Shopify to Unleashed. 

  5. The integration will establish a mapping from the Shopify SKU to a matching Unleashed product code, but no product details will be updated or overwritten for the mapped products.

Connection Log

Once the new products have been mapped, you can use the Connection Log in the Shopify integration to check they mapped successfully. 

  1. From the main menu, click eCommerce Hub.

  2. Select Shopify.
  3. Select the Connection Log tab at the top of the page.

  4. Filter the Connection Log by the following available options:
    • Log Level: All
    • Shop Name: All
    • Click Refresh

  5. If mapping has been successful, each product will be listed as having mapped successfully.
