Setup Wizard

Upon logging into your Unleashed account for the first time you will now have access to a Setup Wizard. This will guide you through the process of getting your account up and running without a hitch. To get started with Unleashed, simply register for a demo or full account from the Unleashed homepage. Upon registration you will receive an email to your nominated address. Following the included link allows you to choose a password, and with this you can login to the software from www.unleashedsoftware.com.

First in this process is to establish your Company details, and you will find some of these are already populated from your registration.

  • Base currency cannot be changed from your selection on the registration form, and will remain your default currency for the life of your Unleashed account.

 

  • The Setup Wizard helps you establish important settings such as Timezone right at the beginning of your use. Choosing your relevant timezone creates timestamps of all activities in Unleashed, which is great for auditing and process control.

 

  • From here the activation of both Negative Stock, Multi Warehouse and Production can be controlled. You can access this screen from Settings from within the software at any time. However if you intend to use any of these features they can be activated straight away. 
Multi Warehouse means you can have stock in more than on location based on different warehouses. If you are not sure what this is then please contact us before enabling it

Production enables the production module and can be used to set up Bill of Materials and assemble those products. Auto Assembly is a subsidiary of production and gives you the ability to automate the assembly process. For more information on this please search the forums for further explanation

Negative Stock is only available to Enterprise users and will give you the ability to sell stock before you actually know the cost of it. Before enabling this we recommend you contact us or your Unleashed partner to discuss the effects it may have.


As mentioned above, all the steps in the Setup Wizard can also be accessed from within the software. However there are certain points that are listed below that we highly advise you complete before beginning to process transactions from your account. Below is the next step of the wizard which is setting up Currencies.

Setup Currency Exchange Rates. This screen is so you can simply select all the different currencies that you will be trading in (be it buying or selling) and the relevant exchange rates you want it to default to. Do not worry about the rates too much as you can change these as you go. This brings us to the next step below:

Transaction Prefixes. This step helps you transition seamlessly from a legacy system to Unleashed. The reference to your transactions in Unleashed can be matched to your processes, and numbering changed to prevent any gap our double-up in your transaction history. This is highly important to do at the setup stage, as by raising a transaction you will be locking in the prefixes of your account.

Xero Configuration. It is vital that the Sales, Purchases, Cost of Goods Sold, and Stock on Hand accounts in your Unleashed are correctly matched to your accounts in Xero. The last two of these must be created in your Xero Chart of Accounts, and you can find information on how to do that in our support resources. By ensuring this account mapping is done correctly at the very beginning, all transactional information will automatically populate accurately in Xero. Choosing the wrong accounts on this screen will mean that your bookkeeping will be incorrect, and resolution of this can be time-consuming. By completing the Setup Wizard however everything will be operating seamlessly between the two systems from the beginning.

Importing Data. The next 4 steps give you the opportunity to import your Suppliers, Customers, Products, and initial Stock on Hand through four .csv uploads. NOTE: When completing the Products .csv you must attribute an Average Landed Cost to each of your products (column AverageLandPrice) in order to have an initial value for your stock. If this field is not populated then any quantities uploaded through the Stock on Hand .csv will be at zero cost.

Finishing the Setup Wizard will take you to your account’s Dashboard where you should be all ready to start using Unleashed.
